From referral to first appointment

Understanding each step helps you know where you are in the process and when to follow up.

Your referring provider

Your doctor sends the referral

Your primary care physician, specialist, or ER provider sends a referral to University Urology electronically, by fax, or through our referring provider portal. The referral typically includes your diagnosis, reason for visit, and relevant records.

We receive and review the referral

Our scheduling team reviews your referral to determine the appropriate provider and location based on your diagnosis, ZIP code, and urgency. For certain conditions, a specific subspecialist is required — our team handles this routing automatically.

Within 5 business days

We contact you to schedule

Our scheduling team will contact you within 5 business days of receiving your referral using the phone number on file with your referring provider. If we are unable to reach you, we will leave a message and attempt contact again. Urgent referrals are contacted sooner.

Before your visit

Pre-registration sent to you

After scheduling, you will receive a pre-registration link via text or email to complete your patient intake forms through ModMed before your visit. Completing this in advance reduces check-in time and allows your provider to review your history beforehand.

Day of your visit

Arrive with your records and imaging

Bring your insurance card, photo ID, co-pay, current medication list, and any imaging discs or prior records related to your condition. See the What to Bring checklist below for full details.


Referral vs. self-referral

In many cases you can schedule directly without a referral. Here is how to know which applies to you.

Scheduling Without a Referral

Most patients can schedule directly using the form above, by calling (865) 305-9254, texting (865) 459-8448, or messaging through Klara. You do not need a physician referral to contact our office.

When a Referral May Be Required

Some insurance plans require a referral from your primary care physician before covering a specialist visit. Check with your insurance or call our billing team at (865) 444-0889 to verify your plan's requirements before your appointment.

Urgent concerns do not need to wait for a referral

If you are experiencing acute urinary symptoms — kidney stone pain, blood in your urine, inability to urinate, or other urgent concerns — call our office directly at (865) 305-9254. We reserve urgent slots daily and can typically see you within 24–48 hours. Do not wait for a referral to be processed in an urgent situation.


What to have ready

Having the right information at your first visit allows your provider to complete a thorough evaluation without delays or additional trips.

Complete your pre-registration

You will receive a ModMed pre-registration link after scheduling. Complete this before your visit — it covers medical history, medications, allergies, and insurance information.

Imaging discs are required — written reports are not sufficient

If you have had a CT scan, MRI, ultrasound, or X-ray related to your condition, you must bring the physical disc containing the actual images. A written radiology report alone will limit what your provider can evaluate at your visit. Contact the radiology facility where your study was performed and request a copy of the images on disc — most facilities provide this at no charge. Allow a few days to obtain the disc before your appointment.

Bring prior records and pathology

Prior urology records, biopsy or pathology reports, operative reports from related procedures, and lab results relevant to your condition. If you can, send these through Klara at least one week before your appointment so your provider can review in advance.

Know your insurance and co-pay

Bring your current insurance card and be prepared to pay your co-pay at check-in. Your co-pay is due at every visit. If you are unsure of your co-pay amount, contact your insurance company before your appointment.

Have your referring provider's information

We send visit notes back to your referring provider and primary care physician after every appointment. Have their names and practice information available so we can keep your full care team informed.

Send records before your visit — not the day of

Files sent through Klara are imported directly into your chart. Your provider will have everything reviewed before you walk in. If you arrive with a large stack of paper records, your visit may need to be shortened and a follow-up scheduled to complete your evaluation.

Note on imaging: Electronic records and documents can be sent via Klara. Imaging discs (CT, MRI, ultrasound) must be brought physically to your appointment — they cannot be uploaded through Klara. Obtain your disc from the radiology facility in advance.

Frequently asked questions

My doctor sent a referral several days ago. Why haven't I heard from you?

Our scheduling team contacts referred patients within 5 business days of receiving the referral. If it has been longer, contact us directly at (865) 305-9254 or via Klara. It is also possible the referral has not yet been received — your referring provider's office can confirm when it was sent.

Can I schedule before my referral arrives?

Yes. You can contact our office directly or use the form above to schedule. We will coordinate with your referring provider to obtain any needed documentation. For insurance purposes, your referral must be in place before your appointment if your plan requires one.

Can I request a specific physician?

Yes. If you or your referring provider have a preference, let our scheduling team know and we will accommodate when possible. Some conditions require a specific physician based on subspecialty — our team will let you know if that applies to your situation.

I live far from Knoxville. Do I have to come to the main UTMC campus?

Not necessarily. University Urology has 11 clinic locations across East Tennessee, including satellite clinics in Sevierville, LaFollette, Tazewell, Morristown, Lenoir City, Crossville, Sweetwater, Halls, and Northshore. Depending on your condition, you may be seen at a location much closer to home. Complex or oncology cases are typically seen at our UTMC main campus. See our locations page for details.

What is the pre-registration link and what does it ask for?

After scheduling, you will receive a link via text or email to complete your intake forms through ModMed before your visit. It covers medical history, current medications, allergies, and insurance information. Completing it in advance typically takes 10–15 minutes and significantly reduces your check-in time.

I am transferring care from another urologist. What do I need to bring?

Bring all records from your prior urologist — office notes, lab results, pathology reports, operative reports, imaging discs, and any treatment summaries. The more complete your records, the more efficiently your new provider can build on prior care. Send records via Klara in advance if possible.


Urgent or after-hours concern?

For urgent urologic issues after hours — fever after a procedure, urinary retention, significant bleeding — call (865) 305-9254 and follow prompts for the on-call provider. For life-threatening emergencies, call 911 or go to the nearest ER.
